Meeting called to order at 7:05
Introductions of all present
Visitor from the extension office was present for keeping up the communication between the extension office and leaders.
President’s report, Cindy; Is talking to extension office about a memorial for Millie Rude at the state fair, suggestions were of a bench or the like. More info to follow at a later date.
Vice President’s report, Tricia; Since Tricia is a moderator to the yahoo groups; she is trying to keep chitchat off the email service. Please remember to include your contact info so any interested parties can email you directly. For feedback email Tricia not the yahoo groups. Remember that when you hit reply on an email sent through the yahoo groups it will go back to the group not to the person that sent it, you have to reenter their actual email address in the “To” line to keep it from going to the group.
Secretary, Sheilla; A motion to approve minutes made by Paula Stobart second by Janet Nikolas. Tricia had a correction that numbers for state team listed in the minutes are approximate not final. Approved with changes Isabelle Moe first, Katie Bryant second.
Treasurer’s report, Paula; $7677.99 current balance. For the State 4-H medallion fund, there was a question about what it was, and have we contributed in the past, is it on the budget? Yes it is the Medals that are awarded at the state fair for team members and it has been the same for several years.
Correspondence, Cindy; none
Association report, Cindy; There will be no critter crowning this year at fair, email the extension office if you are unhappy with this.
Leader training committee, called the Jump start committee. Contact Donna Mikula at the extension office for more info or to help in the committee.
Extension advisory committee is newly started and meeting quarterly.
They also discussed constitution updates carried over from a January working meeting.
Club and leader compliance, the problem of some clubs not meeting the deadlines and getting the in paperwork when due. They are working on possible consequences for failing to meet these requirements.
Equipment Inventory, Jim Luty; He has gotten past lists and is looking over what we have, will have a spreadsheet with current items and condition of items. It was discussed that if an item was damaged while in the use of a club that it should be repaired or replaced by that club.
Gaming equipment inventory, Tamara Braun; She is waiting to meet with Linda to find out what exactly belongs to the county. Did mention that the barrels are in need of replacing, Paula Stobart mentioned that she had a couple to donate.
Trailer donation; Cindy is planning on meeting with the man donating the trailer in the next week or so to pick it up.
Recognition, Kari Garman; Date of August 6th is the date for the awards banquet at South Seattle Saddle Club 5-9 on a Wednesday; she will be looking for volunteers soon. It was suggested that the leaders pay for the “meat” and potluck the rest. It was also brought up that since the Rainbow Riders show is after the banquet, how would a member receive their Supreme Award and recognition. It was explained that if you are awarded your final point at that show you will be recognized at the next “fair”(next year) unless per the rules you write a formal letter stating that you would like to receive your award with out recognition. And you submit that to the leaders committee. Also a letter will be provided for all those wishing to have someone recognized, this is to be submitted to Kari Garman. Supreme awards, gaming and leaders highpoints, state team will have already been announced but will be re-celebrated. The only members that need to bring their horses are retiring members and supreme award recipients. It was also brought up that if you won a championship trophy last year you need to remember to bring it to fair, hence the term perpetual trophy, it is extremely disappointing when a member wins a championship and then doesn’t get the trophy. The trophy should be handed from the past champion to the current.
Tricia and Jenny, Horse Bowl & Hippology; They are working on an idea for juniors as a hippology/groom squad competition that would count for premium points. Possibly held on the 15th during gaming, since other days were taken. Or an open competition that is open at the members ability to enter each station. More info to follow hopefully in the next week, they will allow you to sign up at fair
Medals, Lori Glasgow; There are lots of supreme awards to order, committee will be put together around the medals show. Hunt seat over fences medals will be held at fair due to time constraints during the medals show.
Fair, Kari Ward; There is a date for fair meeting for managers, assistant managers, secretaries and Kari Ward any others are welcome. Wednesday the 25th at Ward’s house 7:00
Stalls will be delivered on Monday to start setting up this is the first day that 4-h has access to the fair grounds. Kari spoke to the stall company and they assured her that they use these stalls all over the country and have had no problems with the canvas sides. All major volunteer positions are filled, yeah!! Secondary positions will be filled as need arises. Judges lunch schedule is filled out, each meal is feeding 8 people.
Enumclaw trailblazers are putting on a barbeque for all gamers on the 15th.
Cindy asked for a headcount for the 4-h swimming session, please get your numbers to Floy Zeigler to receive tickets. Judges at fair are Dressage; Melody Miller, Junior; Laurie Sunby, Trail; Kathy Marka, Int/Senior; Diane Picksly and Michelle Hardesty, Gaming; George and Mitzy Frick.
Tricia; she is missing the exhibitor entry summary form in the fair packet for some kids including juniors please get this in as it helps with the names on the t-shirt.
Education, Cindy; Education day forms are due by June 30th please include your education day premium sheet and enrollment form.
Judging; nothing
Horse bowl; nothing
Equine speaking; go to the state 4-H website for information on the 3 types of equine speaking. 1 senior in each of the 3 types will go to state.
Demos; The last chance is at fair, to set up an appointment call 206 205 3152.
Groom squad; nothing, still looking for chairperson for next year
Novice; nothing, still looking for chairperson for next year
Gaming; Jen has retyped the gaming form on the website for Bill to continue to update. There is currently no one keeping track of the gaming highpoints. Tamara volunteered to handle that. Question was brought up about exactly how the gaming highpoint would work. The gaming committee had a quick conference and decided that not all gaming shows would count towards the highpoint but that only a member’s top 3 shows would count.
Horse show commission; Tricia had the volunteer sheet available for volunteers at the medals show. It is a potluck, remember to bring your food. You can still eat if you don’t bring anything but Kari will make you feel really guilty. =) If you spent the night at Vashon you owe $20 for camping fees.
Numbers, Sheilla; Right now the list on the website is not current we are working on a pdf to submit. Contact Sheilla for any questions or additions.
Dressage, Tricia; She is looking for a temporary arena Jim Luty will call Towerlane farm to see about borrowing one. Isabelle has cones. The state qualification tests; TLT4 for state fair qualification you will have 2 rides this is for state qualification. One can also count towards medals. They will be contacting them individually to find out what tests they will be riding.
Over fences, Tricia; Still looking for a fair judge for over fences. Exhibitors will also be contacted about their rides chosen.
State fair, Jim Luty; Not planning on purchasing a lot of equipment till they find out if the A/B sections for Seniors are going to be combined next year. They are fixing the side panels to better accommodate the ribbons. They are talking about the flags for the tops of the stalls. Looking into costs for embroidery.
State qualifying coordinator, Tricia; Tentative quotas for state teams are as follows; senior 26, intermediate 9, intermediate gaming 9, senior games 8, dressage/over fences 4. Our senior performance numbers seem down, qualifying blues are down. Remember that to go to state you must have a blue in showmanship at any king county 4-H show and even if you win a championship with out that blue you will still not attend state fair.
Still struggling with the over fences section holding a Hunt Seat Equitation class, this would create 2 Hunt Seat Eq champions at the state level. Email Tricia to clarify your stand on this issue.
Western games, Tamara; has a problem with people’s horses failing to get through the gate safely. Open rides were discussed to allow members to work on this rising problem. The new “safe” poles will be ready soon and were asked if they can be used at the Happy Hayburners gaming show, it was in agreement that they should.
Kim, There is a driving clinic next Thursday night at BB at 6:30 the 26th. This will be hands on and low key.
Carina, tack sale for sat is cancelled due to a death in the family.
